Workplace Experience Support Specialist

About the role

RSM's Workplace Experience Support Specialist supports daily office operations at the Bengaluru location, delivering best-in-class hospitality and facilities coordination for colleagues under minimal to no direction. Day-to-day duties include visitor management, reception, mail and print services, office supply and equipment maintenance, vendor coordination, and supporting onboarding and offboarding. The role reports to a workplace experience support supervisor/manager and helps sustain local culture aligned with firm playbooks and policies.

What you’ll do

  • Coordinate with building management on security, health and safety, emergency evacuation, sustainability, landlord forms, special space requests, and maintenance issues
  • Reconcile monthly billing for parking and extra landlord services
  • Perform daily walk-throughs and follow up on maintenance issues raised by the supervisor/manager or others
  • Leverage and deliver services and procedures outlined in the workplace experience support playbook
  • Request bids from internal resources, building maintenance, and outside vendors/contractors and provide to the location supervisor/manager for review
  • Coordinate maintenance of office space including carpet, security system, air-conditioning, plant service, furniture repairs, appliances, office equipment, and AED devices
  • Audit service invoices for accuracy and submit to accounts payable for processing
  • Purchase and maintain inventory of office supplies and equipment, monitor supply quantity, replenish before depletion, and determine cost-efficient purchasing within budget

What you’ll bring

  • Bachelor's Degree required (Associate degree or 2 years of experience preferred)
  • 0 to 1 year of experience in a related field or area
  • Ability to communicate effectively with a diverse audience
  • Excellent people skills
  • Strong grammar and proofreading skills and experience
  • Ability to balance multiple tasks and projects
  • Intermediate knowledge of facilities management
  • Must be punctual and able to adapt to changing schedules
