Proposal and Order Execution Specialist

About the role

This role sits within the Service Business Line, Supply Chain family, handling global customer orders for mining products and solutions. As a Proposal & Order Execution Specialist, you will own end-to-end proposal processing, order booking, and execution, serving as the pivot point between customers, part cataloguing, procurement, logistics, and CRM. You will ensure error-free, on-time proposals, manage customer POs, track DIFOT and revenue, and coordinate across sales, engineering, and supply chain. The position is based in Chennai and is a full-time role.

What you’ll do

• Own the end-to-end proposal process for standard spare parts from RFQ receipt to quotation submission.
• Review customer inquiries and select appropriate spare parts using internal systems and reference tools.
• Collaborate with Sales, Customer Support, Engineering, and Supply Chain for quick input and validation.
• Ensure proposals are accurate, within target lead times, and aligned with pricing policies and discount structures.
• Handle high volumes of proposals while maintaining quality, consistency, and response time expectations.
• Translate customer requirements into orders and take ownership of the end-to-end process.
• Follow up on CRM opportunities in collaboration with sales managers and other stakeholders.
• Coordinate with Procurement for price and availability of non-stock or equivalent items.

What you’ll bring

• Degree in Mechanical Engineering, Electrical Engineering, Industrial Engineering, or a related field.
• Minimum 3+ years of proven experience as a proposal specialist, buyer, order execution specialist, or procurement specialist in mining or heavy industry projects.
• Expertise in MS Project is mandatory.
• Fluency in English required.
• Experience interacting with customers, supporting proposals, and managing deadlines under pressure.
• Strong communication skills and a sense of urgency with quality of work.
• Organized, detail-oriented, and proactive in identifying risks and proposing solutions.
• Ability to prioritize and multi-task in a fast-paced, global project environment.

Nice to have

• EPICOR / Oracle is an added advantage.
• Experience in Power BI dashboard creation is an advantage.
• Multilingual is a plus.
